Position Summary
The Assistant Director will work in the Office of Student Affairs (OSA) at Columbia Mailman School of Public Health, responsible for Student Support and Student Engagement. Reporting to the Associate Dean for Student Affairs, they will be part of a high-performing, dynamic team tasked with ensuring a high-quality experience for students in all OSA areas, with a focus on student centered services. The Assistant Director will be a thought partner in creating a bridge for information exchange between the student body and OSA. In addition to innovative approaches, this individual will be able to execute and manage implementation of new initiatives to address student needs.
Informed by an understanding of concepts related to diversity, equity, inclusion, and belonging, the incumbent will manage and accurately respond to student inquiries about CUIMC and MSPH student resources, addressing questions or concerns with a solution-based approach.
Responsibilities
Student Affairs:
- Supervise the Student Engagement Coordinator and all projects associated with student organizations, student affairs, and student life
- Working closely with DOS, coordinate a consistent and frequent method of communicating support and engagement opportunities- specifically student-centered messaging
- Design and implement consistent communication plan for DOS to meet with student body, student leaders (e.g., create a monthly DOS's meeting series)
- Develop resource programming for specific student cohorts: international students, students with young children, online students, doctoral students, dual degree students
- Lead the development of a Student Affairs Office needs assessment tool and feedback collection method
- Create mechanism for consistent communication between OSA and Departments (including Student Support and Student Engagement)- monthly update newsletter/email
- Primary contact for Delta Omega Honor Society school chapter; including organizing nomination process, planning inductee ceremony, and liaise with national headquarters
- Collaborate with the Office of Diversity, Culture, and Inclusion on RISE peer mentor programming, including application process, selection criteria, mentor/mentee matches, and programming
- Oversight of OSA inventory of services and website content, promotional materials to align with OSA mission, offerings, and policies, leveraging the existing media tools available and eliminating redundancy of public information (website, printed)
- Identify opportunities for programming collaborations within OSA, between Office of Education (OE) units, and across departments
- Skilled and adept in the adoption and implementation of technology-related applications that enhance services (e.g., Engage, Mailchimp, Qualtrics, etc.)
- Participate and assist with events and projects sponsored by OEM, OSA (i.e., Admitted Students Day, Orientation and Graduation) and as needed
- Train, as needed, on OSA policies and procedures, event planning, and project management
- Participate in school and university wide committees, as needed to represent MSPH and student interests
- Reporting mid-year and end of year activity to track trends and useful metrics
Student organizations and student government:
- Oversight of student organization advising and programming for approximately 25 student groups, including management of student organization finances and reimbursement
- Responsible for overall Student Life budget and expense tracking, as well as reconciling of purchases and orders by Coordinator
- Responsible for maintaining the accuracy and relevance of student leader policies and event planning requirements
- Maintain the accuracy of the event and programming platform, ENGAGE (through CampusLabs/Anthology)
- Lead contact for the Graduate Student Association (GSA) (including elections and advising for approximately 15 positions)
- Establish requirements for training and onboarding of student leaders (student orgs and GSA)
- Supervise and execute the annual orientation student life expo with campus partners and student orgs
Minimum Qualifications
The successful incumbent will have experience in higher education, preferably with graduate students. The Assistant Director must possess excellent interpersonal and communication skills, both oral and written. They will be able to identify solutions to create efficiencies and execute tasks as a member of a team, and independently. The Assistant Director will demonstrate the ability to approach projects with innovation and excellence to deliver a quality experience for our students. The individual in this role will be detail-oriented and exhibit excellent judgment and discretion, while always maintaining confidentiality.
- Requires a bachelor's degree or equivalent in education and experience, plus three (3) years of related experience
- Proficiency in meeting time-sensitive deadlines while leading multiple, concurrent projects with minimal supervision is required.
- Ability to work with and be supportive of team effort is essential.
- Experience with program design and student life initiatives
- Experience in website updating, digital communications, and managing administrative processes, including budgeting
- Experience at programming and event planning in a graduate school setting
Preferred Qualifications
- Master's degree preferred
- Supervisory experience strongly preferred
