The Admissions and Assessment Coordinator will be a crucial Brand Ambassador for the School of Social Welfare, driving undergraduate, master's, and PhD recruitment and admissions. The Coordinator will identify recruitment opportunities and promote the school and programs to increase admissions. The Coordinator will also be vital in reporting feedback to the team that will improve the programs.

The Coordinator is primarily responsible for providing professional and high-quality front-line service and admission support to prospective and admitted students at the School of Social Welfare (SSW). The incumbent will convey key institutional and professional messages to prospective applicants and cultivate professional relationships with key educational organizations. The recruitment portfolio includes counseling and advising students regarding the admission process, providing an overview of social work practice, education, and licensing, and conducting presentations. This position may include travel.

The Coordinator will assist prospects, applicants, and students in understanding the complexities specific to pursuing a social work education program, such as managing online courses, 900+ hours of field practicum, working full or part-time while completing graduate study, conducting research and/or being a first- generation student.

The Coordinator oversees the efficient organization, distribution, and processing of hundreds of program applications in addition to training and monitoring BSW, MSW, and Ph.D. application reviewers. The coordinator will also establish, implement, evaluate, and update procedures and criteria to determine eligibility and admission into the various programs.

While recruitment and admissions support are the primary functions of this position, the Coordinator will also provide critical support in the areas of data management, reporting, and assessment. Under the direction of the Associate Dean for Academic Programs, the Coordinator will help to ensure SSW is meeting accreditation standards, successfully delivering competencies, and taking data-driven approaches to recruitment, enrollment, and student services.

Primary Responsibilities:
  • Assist Undergraduate, MSW, and Doctoral Program Directors with their admissions process
  • Lead evaluation and review of SSW admissions process and applications
  • Manage computer programs relevant to the admissions process, e.g., SLATE, for all SSW programs
  • Coordinate distribution, tracking, and reviews of applications to all SSW programs
  • Train program directors and reviewers on the admissions process, criteria, and software
  • Monitor review progress and troubleshoot problems and inconsistencies in reviews
  • Respond to applicant phone calls and emails and greet prospective student visitors and their families
  • Monitor the progression of prospective applicants from recruitment to enrollment
  • Coordinate with program directors and field office personnel regarding notification of admissions decisions
  • Conduct outreach to applicants and newly admitted students
  • Provide application, admissions, and enrollment reports to program directors, Assistant Dean for Field Education, Associate Dean, and Dean
  • Work with appropriate offices to ensure timeliness and accuracy of admissions decisions
  • Serve as liaison between SSW administration and the Admissions Offices, the Graduate School, and Office of Undergraduate Studies
  • Coordinate the departmental Graduate Assistant hiring process for the MSW students in coordination with the Student Services Coordinator and Assistant to the Dean for Finance and Administration
  • Review Carson Carr scholarship applicants for The Graduate School, and coordinate the departmental review and nomination of Carson Carr applicants
  • Work with the Assistant to the Dean for Communications and Engagement to incorporate the Scholarship application process into the admissions process
  • Quality and Quantity Standards
  • Oversee efficient processing of over 400+ MSW applications, 60+ BSW applications, and 40+ PhD applications
  • Work with applicant reviewers to maintain an efficient review period
  • Identify applications with major discrepancies in rankings from reviewers and follow up as warranted
  • Conduct webinars for prospective students
  • Organize and attend an open house for incoming students
  • Develop and maintain communication system for distributing information to incoming MSW students
  • Attend faculty and staff meetings and serve on School/University committees as appointed by the Dean
  • Develop and implement innovative recruitment plan (on campus, off campus, and electronically) for all programs in partnership with program directors
  • Develop, implement, and evaluate targeted, data-driven recruitment initiatives
  • Coordinate information sessions/open houses
  • Coordinate with university personnel on the planning and implementation of university wide recruitment events and initiatives as needed
  • Participate in university career fair(s) to promote SSW graduate programs and engage faculty and student volunteers in event
  • Strategically engage appropriate faculty, staff, alumni and current students in recruitment presentations, events, and communications
  • Develop recruitment and outreach materials in coordination with Assistant to the Dean for Communications and Engagement
  • Coordinate and organize program recruitment and student events
  • Create and coordinate communications for various populations of students (e.g., prospects, applicants, denied, admitted, and incoming students)
  • Work out of SSW hoteling space on the Uptown Campus one day per week and coordinate staffing of the space with Associate Dean
  • Lead the planning and implementation of annual student orientations
  • Prepare agenda with program directors and administrative staff
  • Handle all logistics for orientation: secure rooms, identify and train facilitators for discussion groups, proctor exemption exams, identify exemption exam graders, and communicate results to students
  • Conduct evaluation of orientation
  • Update the SSW Graduate Student Handbook every Fall. Ensure students complete orientation student paperwork in compliance with School and CSWE standards.
  • Provide academic services support, prioritizing support to students
  • Manage online platform for communications between from SSW administration and the student body
  • Organize summer reading/viewing requirement
  • Manage official institutional records relating to current and former students
  • Assist with advisement of non-degree students
  • Correspond with non-degree students regarding admission into matriculated program
  • Advise and assist new-to-program students in registering for courses their first semester.
  • Reply to inquiries via email and telephone from faculty, students, and others.
  • Provide back-up coverage for SSW Help Desk phone and email
  • Facilitate introductions between admitted students and student services team
  • Provide administrative support to the Dean's office as needed
  • Perform assessment activities
  • Run reports as directed by the Associate Dean to assist in academic programs improvements
  • Conduct student and faculty surveys as directed by Associate Dean
  • Assist with competency assessment in coordination with Associate Dean
  • Review data, budget metrics, etc., with Associate Dean to evaluate effectiveness of recruitment/admissions activities and student services and retention activities
  • Use data from competency assessment, surveys, etc. to identify strengths and weaknesses and make recommendations for improvements for recruitment, admissions, and marketing

Requirements:

Minimum Qualifications:
  • BSW or Bachelor's Degree in a Related Field (e.g., psychology, human development, sociology) from an accredited insitution
  • Proficient with Microsoft Office, specifically PowerPoint, Excel, and Word
  • Internship or volunteer experience in the field of social welfare or a related field (psychology, human development, sociology, etc.)
  • 0-5 years prior experience. Internship or volunteer experience is required if there is no post-degree experience

Preferred Qualifications:
  • Understanding of the undergraduate and graduate recruitment process
  • Experience working with undergraduate and/or graduate students
  • Experience working with faculty, and staff
  • 1-5 years prior post-degree experience in Social Work or related field, and/or Higher Education

Additional Information:

Professional Rank and Salary Range: Senior Staff Assistant, SL3; $53,000.

Special Notes: This position is in-person at University at Albany School of Social Welfare, 135 Western Ave., Albany, NY 12222. This position may be eligible for the UAlbany telecommute policy and allow for remote work 1 day per week.
