Preferred Qualifications Position Summary

This position works to support graduate students in completing programs of academic study in the Department of Educational Theory and Practice. The employee will assist the faculty Graduate Coordinator in implementing all services related to academic and graduate student planning, support, monitoring, and development. Responsibilities include, but are not limited to, graduate program administration, student services, and general departmental support. It involves a thorough knowledge of departmental, college, Graduate School and university polices, software platforms, and data systems. The incumbent will deal with complex issues and questions from graduate students and faculty while maintaining and following university guidelines and procedures. Contribute to a culture of teamwork and inclusion that supports a diverse team of students, faculty, and staff. This is the second in a series of four classifications. Work is performed under general supervision and has no supervisory responsibilities.

Graduate Program Administration:
  • Assist the Graduate Coordinator and program coordinators as requested; providing support for all department graduate programs; preparing associated reports; implementing departmental admissions procedures/policies to meet program goals.
  • Serve as liaison between Dept. of Educational Theory and Practice, Mary Frances Early College of Education, and UGA Graduate School.
  • Work in the graduate program systems such as Banner, Athena, GradStatus, Argos and Slate.
  • Ensure the department stays compliant with University policies and procedures.
  • Collaborate with department head and business manager regarding Graduate School student travel requests.
  • Fulfill data requests by the department and various campus partners including the College of Education Dean's Office; facilitate the department's Outcomes Assessment and Program Review data reporting requirements.

Student Services:
  • Submit program recommendations for prospective students; send welcome letters to all new ETAP graduate students, indicating advisor (copied to faculty advisor)
  • Creates and disseminates graduate student admissions status reports to department faculty.
  • Assist enrolled students with notifications and degree requirements, and monitor student progress toward degree completion.
  • Manages all paperwork/requirements for the thesis and dissertation defense for graduation, program of study forms, and all other applicable forms.
  • Maintains records new graduate student applicants, enrolled students along with maintaining the department active student database and alumni
  • Compose various letter and email responses ranging from verifying enrollment, employment, applicant denial, exception request, and any type of justification need for students; disseminate and communicate important departmental, College, University and Graduate School deadlines (drop/add, registration, withdraw, graduation, etc.), and job opportunities sent from outside agencies.

General Departmental Support:
  • Cross-train and serve as backup to Administrative Specialist.
  • Perform tasks and assignments as instructed by the office manager or departmental leadership.
  • As a support to students and faculty, this position either provides the requested customer service or refers it to the appropriate staff member to respond. In cases where a service is requested that falls outside of the normal duties, this position will either provide the service or consult with the graduate coordinator as to possible alternative resources.
  • Attend meetings appropriate to the position including monthly college meetings and Graduate School meetings/luncheons.
  • Attend and participate in professional training, department meetings and activities were appropriate.
