    Position Summary

    The UCLA Department of English is widely recognized as one of the leading English departments in the nation. In consultation with the Vice Chair for Undergraduate Studies, serve as Undergraduate Advisor for the College of Letters & Sciences' Department of English. Coordinate, plan, develop, implement, and modify policies and procedures for efficient operation of, and direct staff functions relating to, advising services, scheduling and enrollment, and special programs. Maintain accurate records for departmental long-range planning. Work closely with faculty, administrators, staff, teaching assistants, and all levels of undergraduate students. Major functions include academic advising, scheduling and enrollment management, special program and services development and management, consultation with faculty and administrators, and public relations.

    Qualifications

    Demonstrated skill in employing fundamental advising techniques with sensitivity sufficient to assist students in the resolution of problems or establishment of academic goals; skill in showing empathy and a sincere concern about student problems; listening perceptively and conveying awareness. (Required)Knowledge of confidentiality policies and ability to handle sensitive matters appropriately. Superior skill in interacting with persons of various social, cultural, economic and educational backgrounds for the purpose of advising students and working with faculty, staff and graduate students. (Required)Skill in developing procedures to effectively assess individual student progress while assisting a large number of undergraduate students enrolled in English classes; skill in interpreting transcripts and/or coursework from other institutions to accurately advise students of degree applicability. (Required)Superior skill in setting priorities which accurately reflect the relative importance of job duties. Ability to perform effectively under conditions of fluctuating workload, competing priorities and time constraints. Skill in coordinating people and activities in the counseling office daily. (Required)Superior skill in working independently and following through on assignments with minimal direction, as well as working as part of a team and collaborating with colleagues. Ability to work in an environment of constant interruptions while remaining friendly and helpful. (Required)Demonstrated skill in directing and supervising support staff, including: a. training b. organizing and prioritizing workflow to accomplish established objectives c. making work assignments d. delegating responsibility e. motivating subordinates to effectively manage tasks. (Required)Superior skill in reading and interpreting documents, and writing well-composed and grammatically correct memos, letters, and informational bulletins; skill in adding and subtracting numbers to determine academic status of individual students and to compile basic department statistics. (Required)Superior skill in speaking clearly using appropriate vocabulary and grammar to convey information to faculty, staff, students, administration, external agencies and the public; establish and maintain cooperative working relationships. Skill in mediating between contending parties or groups. (Required)Skill in analyzing information, problems, situations, practices or procedures to recommend changes for improvement in the undergraduate program. Ability to organize, arrange, and manage job related shared files for easy retrieval and use by Institute personnel. (Required)Ability to utilize computer technology and campus software programs and applications such as OASIS, MyUCLA, DARS, Counselor Desktop, CIMS to perform job duties, including calendaring, database, word-processing, spreadsheets , and Google applications (docs, sheets, groups, forms), Zoom, Slack. (Required)Knowledge of University, Undergraduate Admissions, Registrar's Office, College of L&S and departmental procedures as they relate to student affairs. Knowledge of Career Ctr., Undergraduate Research Ctr., Ctr. for Community Learning, Scholarship Resource Ctr., Counseling & Psychological Services, etc (Preferred)Ability to communicate on a one-to-one basis to explain degree requirements and academic progress. Ability to make oral group presentations to provide information in the academic programs and explain admission procedures and policies. (Preferred)
