The Study Abroad Coordinator will report to the Director of Study Abroad and coordinates procedures and services for students interested in study abroad (undergraduate & graduate); advises students on a range of program options; plans and facilitates orientation and re-entry programs; oversees study abroad promotions and events; recruits Webster and WINS students for to study abroad; supervises peer ambassadors.

 

Essential Duties and Responsibilities*

  • Promotes study abroad to Webster internal audiences as well as external audiences (WINS, Visiting universities). Recruits Webster and WINS students to study abroad as part of the OSA annual outreach and marketing plan.
  • Advises students on international partner and exchange programs as well as faculty led programs, including matters related to study abroad programs, including their relevance to students’ academic needs, financial aid programs, and aspects of travel and living abroad; maintains flexible hours to be accessible to students. Provides ongoing guidance to the Study Abroad Advisor who is working directly with Webster and WINS students.
  • Serves as lead IT administrator of the study abroad application and database system, Terra Dotta. Make systems updates when necessary and provides ongoing support and training to other parties within the university system.
  • In consultation with the Director of Study Abroad, manages key international education reports such as IIE Open Doors, Webster Global Mobility Reports, and the Study Abroad Annual Statistic Report, and the WINS Annual Statistics Report.
  • Organizes and conducts various information sessions and programming (orientation, acceptance meetings) that support students through different phases of the study abroad process.
  • Manages and streamlines core processes for study abroad participants, including registration, housing placements, billing, financial aid, credit acceptance and transfer.
  • Conducts recruitment visits to other institutions (colleges and universities) to promote Webster study abroad programs through the Webster International Network of Schools (WINS).
  • Develops and maintains resources for WINS partner institutions in collaboration with the Director of Study Abroad and Assistant Director for WINS Partnerships. Projects may focus on curriculum integration, advising materials, workshops and webinars that highlight academic opportunities, etc.
  • In consultation with the Director of Study Abroad and Webster international campuses, coordinates faculty mobility and faculty led programs for WINS partners.
  • Manages OSA responsibilities for short-term faculty led programs (student communications, student information, marketing materials, etc.).
  • Supervises Study Abroad Peer Ambassadors; student workers who are essential to student recruitment and advising efforts at Webster and develops programs to support needs of prospective study abroad students (e.g., mentoring programs, study abroad alumni board).
  • Oversees student information for all Webster Campus Programs (visa guides, acceptance packets, pre-departure meetings).
  • Manages study abroad and WINS scholarship application processes. Leads scholarship review committee. Handles tracking and budgets related to scholarships.
  • Collaborates with international colleagues and constituents in a globally competent, professional manner.

Secondary Duties and Responsibilities

  • Conduct site visits to Webster study abroad programs
  • Participate in and help plan the WINS Conference that takes place every other year
  • Attend weekly Office of Study Abroad staff meetings

Minimum Qualifications

Bachelor’s degree is required.  Experience living or studying abroad. Advanced study of a foreign language preferred. Master’s degree is preferred.

  • Experience working across university units, including academic units, academic support, student affairs, finance, financial aid, and marketing
  • Well organized and detail oriented
  • Functional/Technical skills and ability to manage complex IT systems
  • Ability to organize time, details and projects
  • Ability to maintain confidentiality
  • Ability and willingness to travel
  • Experience living or studying abroad. Experience with student programming and advising, particularly in the area of study/work abroad. Knowledge of a foreign language preferred.
  • Work requires four years of experience in an academic and/or administrative capacity to become familiar with various academic, co-curricular, programmatic and/or administrative activities
