Role Overview:

As a Bilingual Admissions Specialist, you'll be the crucial bridge between CentroNa, the families we support, and regulatory agencies. Your role will involve gathering and maintaining confidential information, ensuring compliance with regulatory requirements, and working closely with families and the Admissions & Billing team. You'll be responsible for maintaining accurate health records, facilitating communication, and contributing to the overall success of our admissions and finance operations.

Essential responsibilities:
  • Provide excellent & considerate customer service to parents.
  • Complete intakes, reviews and withdrawals interviews and/or contracts for new and current families in compliance with Centronia and other funding agencies policies for the operating programs ECE, Pre-K and Out of School Time.
  • Monitor and update student's health records including but not limited to immunizations, annual health assessments, dental assessments, asthma/allergies action plans and Medical Authorization forms throughout CentroNa MD sites to ensure they are in compliance with licensing standards.
  • Assists the staff/administration in assessing, planning, implementing and evaluating school health programs.
  • Establishes and maintains confidentiality of all students' health issues.
  • Monitor and review attendance, meal and health reports to ensure accuracy prior to submission to funding agencies.
  • Assist the families and other staff members with questions and inquiries as they occur.
  • Establish and maintain open communication channels with management and funding agencies.
  • Register and submit attendance and meal count reports to funding agencies.
  • Run recurrent reports to ensure quality of services provided and policies compliance of funding agencies (USDA, DOH, MSDE and others).
  • Maintain updated reports and hold accountability for the information provided.
  • Create and maintain updated student's accounts in all current software's and databases, including but not limited to Abila, OECD, attendance reports and other internal spreadsheets.
  • Keep several databases updated, collect data and create ad hoc reports for the different sites and/or programs of the organization.
  • Support admissions and finance team and work with auditors in preparation of audit reports.
  • Perform other duties as assigned.

Other Duties:
  • Collection and tracking of payments from parents. Input payments in corresponding student accounts in consultation with Finance Office.
  • Analyze and solve admissions and billing claims and disputes, contact parents to notify the result and complete and refer credit memos to the Finance Department.
  • Responsible of making collection calls, establishing and monitoring payment plans and report delinquent accounts to the Admissions & Billing Manager.
  • Process automatic payments on weekly and monthly basis per parent requests.
  • Create payment plans with parents. Collect customer payments in accordance with payment due dates.
  • Accountable for reducing delinquency for assigned accounts.
  • Participate in and support staff meetings, retreat and other forums.
