The Admissions Coordinator is responsible for identifying and tracking special admission students by serving as the gatekeeper for the programs assuring that students submit completed paperwork. The Coordinator supervisors work study students and department temporary employees. The Coordinator serves as the point of contact for various student populations pertaining to U.S. citizenship, processing all documentation, and communicating with students. The individual in this position is charged with working with students to assist them with the enrollment processes, evaluating student records for admissions and making updates to the ERP system as needed. Additionally, the Coordinator collaborates closely with Associate Director of Admissions to monitor system processes.

Specific Duties and Responsibilities

  • Supervises work study and temporary employees in the department.
  • Manages student information in the college database from the online application process.
  • Responsible for determining residency when residency change requests have been submitted.
  • Identifies students who are applying for admission as special admissions students so they can be tracked and monitored.
  • Determines when a special admissions student has met all admission requirements and is eligible for admission.
  • Serves as the point of contact for all students with permanent residency cards, students with work permits; both undocumented and Dream Act students, students holding visas, reviews and processes citizenship documentation and communicates with students.
  • Works closely with the marketing and recruitment teams to import prospects generated from marketing and recruitment efforts into the Recruit CRM, and runs reports as needed.
  • Responsible for editing applications and correcting data in the CRM and pulling students from the CAIE queue in Colleague as needed. Collaborates closely with the Associate Director of Admissions to monitor system processes.
  • Enters comments in student database system, informing college advising staff on the status of student’s special admission category or residency issues.
  • Processes applications and removes Admission holds, assisting students with the enrollment process either in person, by telephone, or email.
  • Evaluates high school transcripts and enters GPA and course equivalencies for placement.
  • Monitors the dead transcripts in Perspective Content, checking for updates.
  • Enters adult learner codes per academic advisors’ request for placement.
  • Responsible for obtaining accurate information from students to correct errors in the database.
  • Assists the Director with the management of the department budget as cost center manager, generating and reviewing budget reports, processing all supply orders, purchase orders, and budget transfers for the department.
  • Creates new accounts for contractors as requested by IT.
  • Serves as the department’s liaison to Financial Aid, Human Resources, Registrar’s Office, and the Bursar’s Office in relation to data correction.

Additional Duties:
  • Performs other related work as required.


Minimum Education and Training

  • Bachelor’s degree in related field
  • One year's experience working with databases.

  • A high level of technological skill and ability is required.
  • Demonstrates knowledge of the institution’s resources related to student finances, holistic wellness, academic support, and other in demand student services.
Physical Requirements:
The work is sedentary work which requires exerting up to 10 pounds of force occasionally and/or negligible amount of force frequently or constantly.
