Job Summary:
The Admissions Specialist in Graduate Admissions role is pivotal in converting prospective student inquiries into enrolled graduate students at Hawai’i Pacific University. Reporting to the Associate Director of Graduate Admissions, this position is the first point of contact for potential applicants, providing them with comprehensive information about our graduate programs and guiding them through the admissions process. The goal is to inform, guide, and enroll students into our various programs via phone, text, or email. This role requires a self-motivated individual who thrives in a fast-paced, goal-oriented environment. The ideal candidate will have a passion for higher education and the ability to build strong relationships with diverse prospects.

Qualifications:
Minimum Qualifications:
- Bachelor’s Degree or equivalent combination of work experience and education
- Minimum of 2 years of work experience in sales, customer service, call centers or related experience
- Familiarization with an enrollment or sales CRM software
- Demonstrated computer proficiency, including Microsoft Office Suite
- Strong verbal and written communication skills
- Attention to detail and data entry accuracy
Desired Qualifications:
- Bachelor’s Degree or Master’s Degree
- Higher education student recruitment, university advancement, public or alumni relations, or related experience
- Experience in Ellucian Banner and/or Salesforce/Target-X
- Active listening and ability to build rapport quickly
- Time management and organizational abilities
- Ability to multi-task, use personal judgment and utilize strong decision-making skills
- Ability to handle calls or chats while navigating various software tools when speaking with learners.
Other Qualifications:
- Ability to work standard business hours, with potential for some evening, weekend or HPU holidays as necessary.
- Must meet training and background check qualifications (including national fingerprint based background checks) and comply with the Protection of Minors policy
- Must have reliable transportation to all HPU worksites and other locations as required by the position
- Authorization to work in the United States
- Successful candidates will be able to work independently and as part of a team with resilience and a positive attitude when handling objections
- Ability to multi-task and enjoy speaking with individual people and small groups.
Key Responsibilities/Essential Functions:
1. Lead/Inquiry Nurture and Recruitment Communications (50%)
- Manage a high volume of inbound leads and conduct outbound calling, texting or email campaigns with persuasive student focused communication discussing graduate program options.
- Utilize consultative enrollment techniques to understand prospective students' needs and match them with appropriate programs.
- Nurture leads through the admissions funnel, from initial inquiry to application submission by answering questions about admission requirements, application processes, and program details.
- Qualify leads and schedule appointments with admissions counselors.
- Maintain accurate records of all interactions in our CRM system, Salesforce/Target-X.
- Meet or exceed monthly contact and conversion targets.
- Collaborate with Director and Associate Director of Graduate Admissions to refine lead generation strategies and improve conversion rates
- Participate in virtual information sessions and webinars to engage with potential applicants
2. Admissions Application & Process (25%)
- Stay updated on program offerings, admission requirements, and higher education trends in graduate education.
- Contribute to the continuous improvement of our enrollment processes and customer relationship management.
- Coordinate with HPU’s Admissions Operations team and ITS unit to ensure consistent data flow between HPU’s online application (Salesforce/Target-X) and student records (Banner).
- Process requests for updates to time-sensitive and confidential student data.
- Monitor in-progress and submitted applications for issues, investigate problems, and implement solutions.
3. Customer Service and Administrative Support (20%)
- Collect applicant feedback by conducting post-matriculation satisfaction surveys
- Gather and report applicant suggestions for degree onboarding improvements
- Draft prospective student communication templates (e.g., follow-up emails, thank you notes)
- Liaising between prospective students and other departments (e.g., Admissions Operations, Undergraduate Admissions, Military Campus Programs or Financial Aid)
- Participate in team meetings and share applicant insights
- Package and mail admissions material to applicants during high seasonal demand.
4. Other Duties (5%)
- Actively participate as a team member by completing duties, accepting additional assignments, and assisting with seasonal peaks.
- Perform other related duties as assigned.
