JOB SUMMARY: Administer/follow various Federal, State, and District registration policies, guidelines, and regulations for the enrollment of all students in the District and the maintenance and archival of all students’ official student records. Disseminate student admissions and student records information provided by parents/guardians, schools, other school districts, and universities. Serve as Registrar for high school Summer School programs and assist Summer School principals with the coordination of teachers, classes, and students. Develop and promote positive community relations among various community and school clientele.

1.

Enroll students into the Student Information System (SIS), PowerSchool, and additional databases that provide the necessary student and family information. Audit the information provided and make any necessary edits to ensure data accuracy.

2.

Ensure the data integrity of student information in both the Student Information System and Colorado Department of Education Record Integration Tracking System (RITS).
Monthly 15%
3.

Disseminate information to process reactivated students, change of addresses, alternate mailing addresses and school transfers into the Student Information System.

4.

Verify authenticity of legal documents that are presented to establish eligibility of a pupil to attend the district schools. Examine lease contracts, deeds of trust, warrant deeds, and purchase contracts to determine residency.

5.

Support all summer school programs with communication, registration, hiring, website updates and processing payments for student participation.

6.

Support the Education Verification requests and records requests for all current and former students. Review all requests for proper authorization and research the student records to verify the successful completion of their K-12 education.

7.

Serve as a backup District liaison to military families required to live on base at Buckley Space Force Base (BSFB) in matters relating to school. Facilitate communication and understanding between families, school, the district, and the community. Coordinate with the BSFB School Liaison Officer to assist families as needed. Welcome and support active military families and assist with the student registration and school choice.

Support district programs, alternate schools and charter schools with enrolling new students and transferring current students.

10.
Receive and process all Summer School registrations and reconcile and prepare the deposits from the registrations for high school. Prepare school rosters, class lists, emergency contact information, end-of-year reports, and other reports as needed. Archive all Summer School student records into the archival database and receive and process requests for student’s Summer School records. Annually 25%

Perform other duties as assigned or requested.

MINIMUM QUALIFICATIONS: The minimum prerequisites of formal education, professional work experience, certifications, licenses, endorsements, designations, trainings, and other criteria that a candidate must fulfill to be considered for a position. It is essential that certifications, licenses, endorsements, designations, and trainings are fulfilled, valid, and not expired.
  • Criminal background check and fingerprinting required for hire
  • Some college or specialized classes beyond high school
  • Two (2) years of administrative assistant/clerical, accounts payable/accounts receivable, bookkeeping, or loan closing experience
  • Basic knowledge of typical office equipment such as telephones, copiers, fax machines, email, etc.
  • Basic knowledge of Microsoft Office
