Description
This role is responsible for processing all incoming applicant records and associated documentation. In addition, they make admissions decisions while being a consistent steward of data integrity and maintaining confidentiality regarding all applicant information. Admissions Specialist will provide support in designing, developing, testing, and documenting admission practices which utilize technology to improve the effectiveness and efficiency of the pipeline and application processes.
Characteristic Duties and Responsibilities (include, but not limited to)
ESSENTIAL DUTIES AND RESPONSIBILITIES
1. Processing of all incoming applications for admission - data downloads, data entry, validating the accuracy and integrity of the data entered, maintain workflow of materials, and update records as necessary. Create and manage checklists of required items for admission applicants for all application types (Certificate, Technical Diploma, Associates Degree, etc.).
2. Review applications to make admissions decisions. Process transcripts, test scores, and other pertinent materials to determine admissibility based on established criteria by program.
3. Correspond with applicants, students, and staff via phone, email, and/or in-person as needed to follow-up on processing needs. Provide a superior level of customer service with prospective students as well as internal constituents. Manage and execute all application related communications.
4. Collaborate with other units across campus such as Enrollment Services, Academic Affairs and Student Support divisions.
5. Create and maintain documentation of policies, processes, and procedures for specific position. Assist with onboarding new staff and providing admissions related training to other staff across campus.
6. In collaboration with WCTC’s Designated School Official (DSO), collect, process, and admit international applicants. Maintain international student records including confidential records such as financial statements.
7. Understand and comply with FERPA regulations related to the disclosure of student record information.
8. Provide information and facilitate enrollment processes at special events and activities.
9. In collaboration with the Assistant Director of Admissions test and assess technology solutions used in the admissions office. Work to align effective technology solutions with appropriate business strategies to meet enrollment goals.
Minimum Qualifications
REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES:
EDUCATIONAL AND EXPERIENCE REQUIREMENTS:
Associate’s Degree. One year of Experience in higher education, preferably with knowledge of enrollment services.
Supplemental Information
This position is a 40 hours per/week position.
Typical hours will be Monday through Friday, 8:00 a.m. to 4:30 p.m.

- Knowledge of student information systems, data integration and college enrollment processes are preferred.
