SUMMARY:

Stargate Charter School is seeking an individual to assist multiple managers. Provides administrative support; performs secretarial duties, coordinates and prepares documents, creates and maintains spreadsheets and databases using school information technology systems, and arranges meetings.

To perform this job successfully, an individual must be able to perform each essential duty and responsibility in a satisfactory manner, maintain confidentiality and professionalism when communicating with the Stargate Community. Therefore, commitment to the school, its mission and vision is essential.

This position is a shared position that will report directly to the Community Development Manager and Admissions Enrollment Manager. This is a 10.5 month, full time, benefited position with compensation range of $22.66 to $25.38 per hour, based on related experience

Requirements

Duties and Responsibilities:
  • Provide support to the Community Development Manager and Admissions Enrollment Manager with regular and/or special projects.
  • Champion the Stargate Charter School brand. This includes; assisting with maintaining consistent branding standards for the school on both internal and external basis; enforcement of branding standards through communication and availability of resources to internal stakeholders and the external community.
  • Assist with the following community development logistics:
    • maintenance of school website
    • community outreach program both within the stakeholder community and the broader community in general. This can include assisting in the development of sponsorship, internships and partnerships opportunities in the community.
    • management of the school's social media plan. This includes the school’s social media platforms and social media policies and procedures throughout the school.
    • school community events, including volunteer participation; fundraising; and working with the school committees
    • vendors for various school activities (spiritwear, club needs, etc...)
    • communication and event/fundraising plans with administration, and/or other shareholders.
  • Act as staff liaison to the committees, coordinating resources and volunteer support to promote the success of these parent committees.
  • Help maintain the volunteer database to support the school.
  • Assist with the following logistics of Admissions:
    • the application process and help verify information received from applicants in the Application Management System
    • scheduling testing and organize materials for testing
    • preparation of student files for admissions committee review; admissions appeal meetings
    • prepares, composes, processes and distributes correspondence, documents, or other printed information to parents, department and school staff, and the community
    • compiles intake and evaluation data if needed
    • facilitates communication between department and/or school teams
    • email distribution and communication
  • Solve non-routine problems; schedules appointments; maintains calendars and filing systems; handles faxes; coordinates and arranges meetings, and workshops and special events; prepares agendas and announcements; Provides customer service support for departments/schools
  • Performs various office duties such as word processing, typing, filing and data entry, document scanning, information uploading
  • Perform other job-related duties as assigned.

Education and Work Experience:
  • High school diploma or equivalent.
  • Must be a minimum of 18 years old.
  • Minimum of four years of experience in clerical support positions.
  • Ability to build positive relationships, connect with and manage a wide range of stakeholders including the community members, committees, and school staff members
  • Good track record in using IT, database, and web skills
  • Experience event planning and/organizing preferred
  • Experience with graphic design and social media tools preferred

Licenses, Registrations, or Certifications:
  • Criminal background check required for hire

  • Ability to communicate, interact and work effectively and cooperatively with all people including those from diverse ethnic, cultural, and educational backgrounds.
  • Ability to recognize the importance of safety in the workplace, follow safety rules, practice safe work habits, utilize appropriate safety equipment and report unsafe conditions to the appropriate administrator.
  • Operating knowledge of and experience with MS Office Suite (Word/Excel/Powerpoint) and Google applications.
  • Operating knowledge of school information technology systems and any other department specific software and equipment required within 2 months after entering position.
  • Strong communication skills, both written and verbal ATTENDANCE:
    Regular and consistent attendance is an essential function of this position.
