Job Title: Admissions Coordinator
Position Availability: 40 hours per week/Day Shift, Occasional Evenings and Weekends
Employee Classification: Non-Exempt / Full-Time
Summary:
Julie Billiart Schools is a network of schools serving children grades K-8 with special learning challenges. Currently we have campuses in Akron, Brecksville, Lyndhurst, and Westlake that offer unique learning environments for students with autism, ADD/ADHD, dyslexia, and social learning challenges. We are Catholic, non-public schools that respect diverse faith traditions.
Job Purpose
Under the direction and supervision of the Enrollment Manager, the Admissions Coordinator will answer questions about JB, the application process, screening, financial aid, tuition, and more. The candidate can expect to spend approximately 50 percent of his or her time corresponding with families (via phone, email, or the like), all of whom have requested information about Julie Billiart Schools. The candidate will maintain an active database of interested families.

- Take inbound calls on behalf of all Julie Billiart Schools campuses - answering questions, guiding processes, registering families for info sessions and screenings, while establishing a connection.
- Manage outbound call volume to respond to prospective student requests for information and/or guidance.
- Build a strong relationship with prospective and current families by having the ability to listen, identify their needs, and follow the JB Way.
- Track and manage necessary paperwork for the application, financial aid, and enrollment processes.
- Schedule tours and meetings on behalf of the Manager of Enrollment and JBS Principals, when appropriate.
- Follow through professionally and consistently on inquiries, requests, and suggestions.
- Track applicants through the enrollment process.
- Prepares weekly and monthly activity reports, including call trends and statistics - to the Manager of Enrollment and Executive Leadership Committee
- Work closely with the JB marketing team to identify recruiting interest and trends and set advertising and awareness efforts accordingly.
- Attend info sessions, screening activities, and external recruitment events and fairs. Organizes all necessary materials for such events.
- Review applications for admissions for completeness and accuracy
- Schedule tours, info sessions, and appointments as needed.
- Perform other duties as directed by the supervisor.
- Performs other tasks and duties and assumes other responsibilities as may be assigned by the Enrollment Manager.
Education
Preferred
- Bachelor’s degree in communication, public relations, marketing, or a related field.
- Work experience in special education, training, customer service, sales, or related industry.
- Willing to consider a recent graduate with a passion for customer service, sales, or related industry.
Job Requirements
- Availability to work a flexible schedule that includes some evenings and weekends.
- Have excellent verbal and written communication skills, warm and professional telephone manner.
- Have interpersonal skills to interact with students, management, and peers.
- Experience with CRM preferred. Must have the willingness to become proficient in navigating customer relationship management systems and multiple software systems while communicating with students.
- Self-motivated, flexible, and able to work in a team environment with minimal supervision.
- Ability to approach recruiting assignments with creative and innovative ideas.
- Belief and commitment to the JB way and mission and to embracing the Sisters of Notre Dame’s philosophies and teachings
