POSITION TITLE: Assistant Dean of Admissions REPORTS TO: Dean of Admissions POSITION SUMMARY: Provide leadership to the admissions counselors and visit coordinator. Work collaboratively with the Dean of Admissions to determine recruitment strategies for the Office of Admissions. Travel to high schools and other colleges or universities within an assigned geographic territory, educating and preparing higher education-bound students on such subjects as the benefits of secondary education, admissions processes, financial aid and scholarship practices, and resources for professional growth. Provides community outreach service instruction to students, in line with the College’s core values and strategic initiatives. ESSENTIAL FUNCTIONS:
  • Lead and manage the day-to-day activities of the Admissions Office
  • Provide direct oversight for admission counselors, serving as a responsible party (in conjunction with the Dean) of annual recruitment targets.
  • Stays abreast of internal and external trends, data gathering and reporting in collaboration with the Dean, to be reported to Administration and others as appropriate.
  • Develop, coordinate and provide educational sessions for high schools and/or other secondary education audiences.
  • Plan and implement a travel schedule for the department conducive to reaching the target audiences.
  • Work with faculty, coaches, and staff to effectively collaborate in the recruitment process and efforts.
  • Develop, and maintain relationships with high school, college, and university counselors to identify prospective audiences and students for college-bound education sessions.
  • Interpret prospective student aggregated education materials and counsel on potential path in secondary education as appropriate, ie; grade-point averages in relationship to college acceptance.
  • Create, with financial aid staff, presentations to present/explain financial aid processes and awards to students/parents.
  • Communicate with prospective and admitted students through verbal and written communication (social media, phone calls, emails, texts, postcards, letters, etc.).
  • Review student applications and determine admission status to the College, communicating decisions to applicants, advising on next steps, etc.
  • Review all transcripts and approve acceptances from admissions counselors.
  • Responsible for all on-boarding efforts for new admission counselors.
ADDITIONAL DUTIES AND RESPONSIBILITIES:
  • Work collaboratively to plan, organize, and conduct on-campus events and educational sessions.
  • Coordinate with Dean to award endowed scholarships.
  • Coordinate with marketing on materials needed for recruitment.
  • Manage all special circumstance enrollments including, but not limited to, tuition match and re-enrolling students.
  • Determine when appropriate to request an admissions appeal to the student appeals committee. Manage relationship with appeals committee chair and follow up on each case.
  • Other duties as assigned.
SUPERVISORY REQUIREMENTS: Supervise admissions counselors, visit coordinator, and admission student workers. Responsibilities include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance: rewarding and disciplining employees; addressing complaints and resolving problems. EDUCATION: Essential: Bachelor’s degree from an accredited four-year college or university Desirable: EXPERIENCE: Essential: Prior work in an educational setting. Desirable: Previous experience as an Admissions Counselor in an educational setting LICENSES/CERTIFICATIONS: Valid Driver’s License KNOWLEDGE, SKILLS, ABILITIES:
  • Ability to communicate effectively both orally and in writing.
  • Strong presentation skills.
  • Excellent interpersonal and teamwork skills.
  • Strong organizational skills and ability to multitask and prioritize work.
  • Ability to achieve enrollment goals using initiative and self-motivation.
  • Knowledge of Microsoft Office Suite, email, and social media.
  • Ability to develop proficient knowledge of Eureka College (including, but not limited to academics, campus life, and personnel.)
  • Ability to maintain strict confidentiality of information.
WORKING CONDITIONS: While performing the duties of this job, the employee is occasionally required to stand, sometimes for extended periods of time; walk; sit; use hands to finger, handle or feel objects; reach with hands and arms; climb stairs; balance; stoop, kneel, crouch or crawl; talk or hear. The employee may occasionally lift and/or move up to 25 pounds. Specific vision abilities required by the job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus. Some travel by car to a variety of off-campus settings is required. The noise level in the work environment is usually quiet to moderate. While performing the duties of this job, the employee may be exposed to weather conditions prevalent at the time. WORK SCHEDULE: Normal workday is 8:00AM-5:00PM Monday through Friday with one hour allocated for lunch. Flexibility in the work schedule is required to accommodate evening and weekend hours, travel, and overnight travel.
