Position Description
The Admissions and Data Specialist enhances CELOP's ability to efficiently enroll students with a high level of customer service and make informed decisions affecting admissions based upon analysis of admissions data. Reporting to the Admissions Manager, the Admissions Specialist is an expert with CELOP Admissions systems and tools and pursues opportunities to improve operations that facilitate student enrollment. The Admissions and Data Specialist is also a key collaborator with CELOP staff focused on growing the business and other Boston University Schools and Colleges that work with CELOP on delivering programs.
Essential Job Functions:
- Support the processing of student inquiries, applications, and registration in CELOP and BU student information systems. Identify opportunities to increase efficiency and enhance the level of service provided to students and implement solutions in collaboration with the Admissions Manager.
- Coordinate with CELOP's academic staff to ensure program admission requirements are up to date and communicated internally within CELOP and ensure that admissions information is updated on relevant webpages of the CELOP website. o
- Alongside the Admissions Coordinator, respond to program inquiries and encourage them to apply. Communicate with applicants to ensure successful application completion. For attending students, provide support for needs and questions related to charges and payment, health insurance, housing, compliance, etc.
- For applicable programs, manage student application rosters and related documents on program-specific SharePoint websites. Track applications to update relevant CELOP staff, including the Associate Director, Business Development, and faculty coordinators on program enrollment.
- Use bulk email tools such as MailChimp to send pre-arrival information and participate in pre-arrival webinars, as required.
- Provide support to the Assistant Director, Academic Operations with data uploads to the CELOP FileMaker databases, as needed.
- Compile and analyze inquiry, application, and enrollment trends and report findings to decision makers including the Managing Director, Associate Director of Business Development, and Admissions Manager for the purpose of projecting and increasing CELOP enrollment and improving service quality. Utilize reporting tools such as PowerBI to clearly communicate findings to decision makers and stakeholders.
- Analyses and reports may include, but are not limited to
- Enrollment and application status reports by program and in aggregate
- Enrollment surveys for industry and professional organizations such as IIE Open Doors, UCIEP, EnglishUSA, etc.
- Ad hoc reports in response to requests from CELOP and Global Programs leadership for insights in CELOP's enrollment and student body
- Liaise with Boston University Schools and Colleges and on admissions topics for collaborative programs including conditionally admitted students as well as with departments such as Housing and International Admissions that CELOP cooperates with to serve its students.
- Support the Admissions Manager for key CELOP Admissions tasks:
- Training of new admissions staff
- Student Check-In
- Re-enrollment campaigns
- Finalizing fees for upcoming semesters
- Other Admissions tasks, as needed
Required Skills
- Bachelor's Degree
- 3 to 5 years of professional experience in fast paced operational environment including at least 1 year of work in student admissions.
- Superb organizational and prioritization skills, including the ability to juggle multiple tasks and meet all deadlines.
- Ability to produce, present, and analyze statistical reports.
- Strong customer service orientation and related skills.
- Excellent communication skills including verbal and written communication.
- Highly developed cross-cultural communication skills and self-awareness and the ability to work effectively with people of diverse backgrounds, including those who speak English as a second language.
- Experience with Microsoft Word, Excel, PowerPoint, PowerBI and related software.
