JOB SUMMARY:
The Coordinator for Academic & Student Affairs provides responsive, effective, front-line operations support and service to the Office of Academic and Student Affairs. This role offers clerical, logistical, and programmatic support for the core educational and student support functions of the office, including scheduling, advising, and disability support services. In addition, the Coordinator works closely with the Academic Program Manager to provide administrative support to the departments of Liberal Arts, Modern Languages, Music History, and Music Theory. The position reports to the Academic Program Manager and collaborates regularly with all members of the Academic and Student Affairs team.
This is a full-time, 10-month position, requiring an in-office presence during regular hours (Monday through Friday, 9:00 AM to 5:00 PM) from August 1 through June 1.

Annual Clery Report

ESSENTIAL FUNCTIONS
- Office of Academic and Student Affairs
- Provide front-line reception, handling students’ questions and requests or directing them to the appropriate resource or office, ensuring a well-run, efficient, and welcoming environment.
- Monitor and respond to email communications to the main office inbox, ensuring timely and professional responses to inquiries.
- Oversee and maintain web pages for Academic and Student Affairs, including supervising student employees responsible for creating and managing newsletter and media content.
- Manage office spaces, including ordering office supplies/equipment and maintaining organized office space.
- Provide administrative support to the Dean of Students and Campus Life and other colleagues in the department of Academic and Student Affairs.
- Assist with the preparation and organization of Audition Weekends, New Student Orientation and Commencement activities.
- Serve as a liaison to other departments and areas within NEC.
- Under the supervision of the Academic Program Manager, hire, train, and supervise OASA student employees; review and approve student employee timesheets.
- Provide front-line reception, handling students’ questions and requests or directing them to the appropriate resource or office, ensuring a well-run, efficient, and welcoming environment.
- Academic Department Support
- Serve as the main administrative contact for the departments of Liberal Arts and Modern Languages.
- Oversee the Liberal Arts, Modern Languages, Music History, and Music Theory offices, ensuring an organized office space by managing DAs and ordering office supplies/equipment as needed.
- Maintain web pages for academic departments, including regular updates to proficiency exams, study guides, and promotional materials. Create listings for special departmental events and announce events to students and faculty as appropriate for each department. Collaborate with the Marketing Department on PR messaging and event details.
- Under the supervision of the Academic Program Manager, draft agreement letters, collect documentation, and process payments for guest artists and visiting lecturers.
- Coordinate departmental events, supervising DAs in staffing and event management.
- Under the supervision of the Academic Program Manager, administer the hiring process for departmental assistants (hired by the Academic Program Manager and Department Chair) and teaching assistants (hired by faculty); review and approve student employee timesheets.
- Serve as the main administrative contact for the departments of Liberal Arts and Modern Languages.
QUALIFICATIONS
- Bachelor’s degree and a minimum of one year of demonstrated experience in a high-profile, high-volume office environment.
- Strong organizational, written and oral communication, analytical, record-keeping, and phone skills.
- Demonstrated customer service experience, with efficient and effective delivery to internal and external constituencies.
- Accurate typing/data entry skills.
- Strong interpersonal skills and flexibility that allow for quality relations with a variety of internal and external constituencies.
- Demonstrated attention to detail and follow-through and ability to maintain
- confidentiality.
- Previous supervisory experience helpful.
- Ability and willingness to work occasional weekends and evenings as needed.
- Strong computer skills including knowledge of e-mail (Google Suite), social media platforms, and MailChimp.
- Working knowledge of Ellucian’s PowerCampus beneficial.
- Knowledge of an interest in music and the particular needs of conservatory students is a plus.
