Job Summary
This is a full performance administrative position, providing direct support to the Director of Education (DOE) in the areas of student services in which several duties apply dealing with management, administrative staff, instructors, students and outside representatives.
Responsibilities and Duties
Responsible for all activities related to student services, which includes but is not limited to:
- Schedule all potential students for admissions tests (either on campus or online), Administer, monitor, and grade all admissions tests, and submit scores to Admissions reps.
- Deliver intro presentation about the Student Services department and rules of conduct to new students during New Student Orientation meetings.
- Ensure all textbooks and eBooks are issued to students, as well as materials, supplies, uniforms, and any other authorized items upon release from fiscal department at orientation day.
- Supervise instructors get on time their instructor attendance log prior the starting date of a new module, and be sure students’ names and email addresses are correct.
- Assist students with academic or attendance issues in providing proper solutions to improve their academic and attendance records. Monitor student attendance and academic scores and advice DOE of critical attendance and grade issues in order to schedule proper interventions and disciplinary actions if necessary.
- Assist students with enrollment verifications for state and federal.
- Supervise that instructors maintain accurate records of all students’ grades and properly document all grades and GPAs on Progress Reports. Progress Reports must be sent on time to students.
- Coordinate Appeal meetings once a student is terminated from the program and submit meeting minutes to the Appeal Board with the meeting resolutions for college records and student notification.
- Prepare and submit monthly and annually status reports on all new enrollments with starting dates, program completion, LOAs, and externship dates and any other report necessary to maintain accuracy of all students’ activity.
- Prepare digital documents for digital signatures using several signature software.
- Supervise instructors send their attendance log daily with the proper attendance information, and verify it is correctly entered into our academic digital system by running random audits.
- Assist DOE in the preparation of Programs starting dates and ending dates worksheets. Prepare special end dates and course modified schedules for re-enrolled students.
- Coordinate the Students Services on campus and digital information boards.
- Randomly audit our academic and attendance system to verify information is entered properly and that the system is displaying information properly.
- Assist when necessary with State and National Accreditation compliance packages, reports, and on campus visits.
- Maintain a professional and respectful relationship with students, faculty, and staff at all times.
- Report immediately all students incidents of non - compliance of school rules, policies, and regulations to the Director of Education. The same applies to any staff member or instructor in a non-compliance situation.
- Attend all workshops or seminars pertaining to the job description in order to learn new skills or meet standard guidelines.
- Perform other related duties as assigned or required.
Qualifications and Skills
- Experience in the following work areas: Vocational Schools, colleges, work source centers, etc. - At least 3 years.
- Very reliable and self-driven. Wanting to be a great role model.
- Extremely professional, courteous, and with great manners.
- Strong communication skills written and verbal.
- Excellent at meeting deadlines.
- Computer literate on MS Office including Outlook. Working with a computer network environment is a plus.
- Good motivator and great coaching skills.
- Professional social media (LinkedIn) experience is a big plus.
- Very good attention to the details.
- Very organized and creative.
- Bilingual (English and Spanish) - speaking, reading and writing is a plus.
- MUST have own reliable transportation.
