Primary Purpose:

Manage Study Abroad and Faculty-led programs administered in the Office of International and Graduate Programs.

Essential Duties and Responsibilities:
  • Study Abroad

    • Manage five study abroad programs- including application processing.

    • Assist Director with creation of new study abroad and faculty-led programs, to include schedule-building, logistical planning, and ensuring compliance with the ABA criteria for summer, intersession, short term faculty-led and long term study abroad programs;

    • Organize events to promote the internationalization of the SUCOL campus;

    • Coordinate with relevant SUCOL departments regarding agreements; advocate across SUCOL for study abroad program expansion with other offices and departments on campus;

    • Research study abroad programs and health and safety concerns abroad.

    • Monitor and advise Director regarding agreements nearing renewal or requiring revision.

    • Coordinate and collaborate with co-sponsoring schools to recruit and process applications

    Reporting and Analysis

    • Evaluate reports and analyses periodically in an effort to strategically plan for growth, development, and improvement in study abroad and faculty-led programs.

    Recruiting/Marketing

    • Recruit and actively market to both students and faculty at co-sponsoring schools into study abroad programs via e-mail campaigns, presentations, and in-person meetings;

    • Design and create program brochures and promotional materials for study abroad, exchange, and dual-degree programs; and

    • Promote study abroad programs via class presentations at SUCOL campus and co-sponsoring schools, information sessions, study abroad fair(s), and other presentations as planned throughout the year with the support of other SUCOL staff.

    Event Planning

    • Organize and manage, in host country, accommodation, transportation, local tours, guest speakers, and field trips to enhance study abroad programs and meet ABA Criteria for study abroad programs;

    • Identify and facilitate relevant and stimulating guest speaker events in an effort to internationalize the SUCOL campus;

    • Coordinate events with international student organizations to promote global awareness and internationalize the SUCOL campus; and

    • Educate students and faculty about health, safety, and study abroad logistics both before they apply and during Study Abroad Pre-Departure Orientation.

    Logistics/Coordination

    • Respond to student queries regarding study abroad and faculty-led programs;

    • Coordinate outreach and advise students on general issues relating to study abroad preparation and deployment;

    • Determine the necessity for Research Assistants for short-term study abroad programs;

    • Identify and facilitate the appointment of Research Assistants for programs, as necessary; and

    • Coordinate with SUCOL Business Office, SUCOL Financial Aid Office, co-sponsoring schools, and other home institutions to facilitate payments of all study abroad tuition & fees.

    Academic Coordination

    • Assist Director with identifying study abroad courses and receiving Curriculum Committee approval for such courses for all study abroad programs;

    • Assist Director with identifying faculty and getting approval from the Associate Dean of Academic Affairs for all study abroad programs;

    • Respond to/manage all aspects of participating study abroad faculty, to include creation and issuance of contract letters; and

    Budgeting

    • Monitor financial budgets for five study abroad programs ensuring programs are financially sustainable;

    • Monitor the summer study abroad scholarship program for SUCOL students;

    • Develop processes and procedures to facilitate faculty and staff ability to stay within budget on airfare, housing, and other travel expenses;

    • Process and report receipts and reimbursable charges for faculty and students

    • Process and report invoices for accommodation, transportation, and all charges incurred by a specific program.

    • Assist Director in making annual student projections for programs in study abroad portfolio.

    SUCOL Travel Insurance

    • Report travel insurance costs to Business Office for individual program billing as well as school-wide annual reporting.

    Other Responsibilities

    • Engage in professional development;

    • Maintain communication with colleagues in the field via listservs and conferences;

    • Learn about developments in the field via conferences and workshops;

    • Occasional weekend and evening activities;

    • Occasional off-campus work and 20% travel

    • All other duties as assigned;

Required Skills

Qualifications:

B.A. degree required M.A. preferred, or some combination of experience and education; experience with study abroad programming including interaction with students and faculty. Ability to relate well to students, faculty, staff and others from diverse cultural backgrounds. Strong written and verbal communication skills. Diligent attention to detail and meticulous record-keeping. Sound professional judgment and a strong sense of ethics. Significant event-planning experience. Ability to plan and implement educational programs and activities. Ability to work effectively and successfully in recruiting students to study abroad.

Computer Skills:

Must have intermediate to advanced MS Outlook, Excel and PowerPoint skills. Knowledge of MS Word, Access, Studio Abroad/Terra Dotta preferred.
